When someone leaves
The choice you make at a departure, and the 14 days after it.
When a member's access ends, you choose at that moment between two outcomes: the workspace keeps what they captured, or they take it with them. kept emails them either way to say which.
If they take it, they have 14 days to download it or move it into a personal kept account, after which it is deleted from kept.
There is no standing policy to set in advance. The choice is made per departure, and it cannot be changed retroactively for knowledge already delivered.
